How we get the personal information and why we have it

All of the personal information we process is provided to us directly for one of the following reasons:

  • To be able to contact people, including for marketing purposes.
  • To be able to liaise with customers about travel information and payment prior to their holiday.
  • To make sure that we have the necessary bikes and equipment in the correct size and at the correct location.
  • To make sure that rooming and dietary preferences are accurately catered for.

We collect this information by asking our customers to complete our Booking Form on our website. Some information may be collected by telephone.

We collect contact information so that we can contact people who have expressed an interest in our holidays, for marketing purposes.

We also collect contact and additional information from our customers so that we can tailor our holiday offering in line with undertakings made on our website (at https://thechaingang.co.uk) and in other literature, particularly relating to height, rooming preferences, travel arrangements, and dietary requirements.

We need to have certain information in order to make arrangements for travel and participation in our holidays, to be able to contact customers about these arrangements, and to be able to put in place the preferences that our customers have advised us about. This constitutes a legitimate interests reason for collecting and processing your information.

We also collect information about which tour, and which travel and rooming options our customers have chosen. In conjunction with acceptance of our Terms & Conditions, and payment, we have a contract justification for collecting and processing this information.

We will share the following information about our customers with our hotel suppliers:

  • Name
  • Rooming preference
  • Dietary preference(s)

Prior to your holiday with us, we will continue to hold this information. After completion of your holiday, we will delete all information held about an individual on request:

How we store your personal information

Your information is stored on a database at 2, Prince Charles Close, Exmouth EX8 4RG. Some of this information is also stored in paper form as a printed copy of your ‘booking form’ at the same location. Basic contact information (first name, and email address) is also stored by our e-marketing partner, Campaign Monitor.

We keep contact information for as long as the details are current, unless we are asked to delete the information. If people ask us to delete contact information via the ‘Unsubscribe’ function on an e-Newsletter, our e-marketing partner, Campaign Monitor, delete the information such that we are no longer able to initiate contact via their platform. If people ask us by phone, email or post to delete the information we hold about them, all information is deleted from the database, as well as from the records held by Campaign Monitor.
